Overview
Your organization likely already has athlete records in YouthSports. When it’s time to build a roster for a new season, you don’t need to re-enter everyone from scratch. Instead, find existing athletes and attach them to the right team-season combination. This keeps your data clean, preserves history, and ensures communications and billing work correctly.
Why This Matters
Duplicate athlete records are more than just messy – they cause real problems:
- Missed communications – Messages go to the wrong record while the real athlete never sees them
- Billing confusion – Fees might be assigned to an orphaned duplicate instead of the active record
- Broken history – Stats, attendance, and participation get split across multiple profiles
- Guardian access issues – Parents may be connected to the wrong athlete record
Taking a few extra seconds to search before adding saves hours of cleanup later.
Adding an Existing Athlete to a Roster
Step 1: Navigate to the Team Roster
- Go to Teams and select the team you’re building
- Click on the Roster tab
- Make sure you’re viewing the correct season (check the season selector if available)
Step 2: Open the Add Athlete Modal
- Click Add Athlete or Add Existing Athlete
- The search modal appears, ready for you to find existing records
Step 3: Search for the Athlete
Use the search field to find athletes by:
- Name – First name, last name, or both
- Email – If the athlete has an email on file
Results appear as you type. Take a moment to verify you’re selecting the right person – check for matching details like email or previous team associations.
Step 4: Confirm and Add
- Select the correct athlete from the search results
- Review the confirmation details
- Click Add to Roster
The athlete is now part of your team’s roster for the selected season.
Understanding Validation Messages
Sometimes YouthSports will prevent an action or show a warning. Here’s what common messages mean:
“Athlete is already on this roster”
The athlete you’re trying to add is already assigned to this team-season combination. No action needed – they’re already there.
“Athlete is on another team’s roster for this season”
Depending on your organization’s settings, athletes may be restricted to one team per season. You may need to remove them from the other roster first, or contact your administrator about multi-team settings.
“No matching athletes found”
Your search didn’t return results. Double-check spelling, try searching by email, or the athlete may need to be created as a new record.
Bulk Adding Athletes
Need to add many athletes at once? You have options:
- Multi-select in search – Some views allow selecting multiple athletes from search results
- CSV Import – For large-scale roster building, use the athlete import feature with update mode to match existing records. See Import Athletes with CSV for details.
Best Practices
- Always search first – Even if you think the athlete is new, a quick search confirms it
- Verify before selecting – Similar names are common; check email or other details
- Use consistent data – When athletes are first created, ensure email and name formatting is consistent to make future searches easier
- Clean up duplicates promptly – If you spot duplicates, merge or archive them before they cause downstream issues
Troubleshooting
“I accidentally added the wrong athlete”
Go to the roster, find the athlete, and use the remove option. Then search again and add the correct person.
“The athlete I need doesn’t appear in search”
They may not exist in your system yet. You’ll need to create a new athlete record, either manually or via import.
“I need to move an athlete to a different team”
Remove them from the current roster, then add them to the new team’s roster using the same search-and-add process.
