Announcements keep your organization informed. Whether it’s a weather cancellation, registration reminder, or celebration, getting the message to the right people matters. PlayState lets you scope announcements precisely so you reach exactly who needs to hear from you—and no one who doesn’t.
Understanding Announcement Scope
Team Announcements
Visible only to members of a specific team. Coaches, athletes, and guardians associated with that team will see it.
Best for:
- Practice schedule changes
- Team-specific logistics
- Coach communications to their roster
- Anything that only affects one team
Organization-Wide Announcements
Visible to everyone in your organization across all teams.
Best for:
- Facility closures
- Organization policy updates
- Registration deadlines
- Major announcements affecting everyone
Who Can Send What
Your role determines your announcement reach:

If you don’t see the option to send org-wide announcements, your role doesn’t have that permission.
Creating a Team Announcement
- Navigate to the team or to Announcements
- Click Create Announcement
- Select the team from the Scope selector
- Write your message:
- Title — Brief and clear
- Body — Full details
- Configure visibility (see Fan Visibility below)
- Click Post or Send
Creating an Organization-Wide Announcement
- Navigate to Announcements
- Click Create Announcement
- Select Organization or All Teams from the scope selector
- Write your message
- Configure visibility
- Click Post or Send
Fan Visibility
The fan visibility toggle controls whether people outside your organization can see the announcement—specifically, fans who follow your public pages.
Fan Visibility ON
- Announcement appears on public-facing team or org pages
- Anyone visiting your public page can read it
- Good for: Game day info, supporter updates, public news
Fan Visibility OFF
- Announcement visible only to logged-in members
- Public visitors cannot see it
- Good for: Internal logistics, sensitive information, member-only news
Default: Fan visibility is typically off. Turn it on intentionally when you want public reach.
Managing Existing Announcements
Finding Your Announcements
- Go to Announcements
- View the list of all announcements you have access to
- Filter by team or scope if needed
Editing an Announcement
- Click on the announcement
- Click Edit
- Make your changes
- Save
Edits update the announcement in place. Anyone viewing it will see the updated version.
Deleting an Announcement
- Find the announcement
- Click Delete or the delete icon
- Confirm deletion
Deleted announcements are removed entirely and cannot be recovered.
Notification Behavior
When you post an announcement:
- In-app notification — Members see a notification in PlayState
- Email/Push — Depending on organization settings and user preferences, members may receive email or push notifications
Announcements are designed to get attention. Use them for information that matters—not routine updates that could go in an event description.
Common Scenarios
“Practice is canceled tonight”
Team announcement with fan visibility off. Only the affected team needs to know.
“Facility closed due to weather”
Organization-wide announcement. Affects everyone, so reach everyone.
“Game time changed for Saturday”
Team announcement with fan visibility on. Your members need to know, and fans checking the schedule should see the update too.
“Registration closes Friday”
Organization-wide with fan visibility on. Reach members and prospective members who might be browsing your public pages.
Best Practices
- Be specific with scope — Don’t blast everyone when only one team is affected
- Clear titles — Members scan titles first; make them count
- Fan visibility intentionally — Default to off; enable when there’s a reason
- Don’t overuse — Too many announcements train people to ignore them
- Time-sensitive = announcement — Routine info can live elsewhere
