Uniform orders collect sizing and preferences from athletes efficiently. Whether you’re outfitting one team or your entire organization, YouthSports handles the collection process; you configure what’s needed, set deadlines, and gather submissions without chasing people via email or spreadsheets.
Understanding Uniform Order Scope
Organization-Level Orders
Collect uniform information across multiple teams at once. Best for:
- Organization-wide equipment purchases
- Shared uniform vendors across all teams
- Standardized sizing collection
Team-Level Orders
Specific to one team’s roster. Best for:
- Team-specific jersey orders
- Sport-specific equipment
- Different vendors per team
Team-level orders require the team to have a linked season (so there’s a roster to collect from).
Creating a Uniform Order
- Navigate to Uniforms or Uniform Orders
- Click Create Uniform Order
- Configure scope (org-wide or specific team)
- Set up kit items and sizes
- Configure deadline
- Save and publish
Configuring by Sport
Different sports need different items. When creating an order:
Select Sport (if applicable)
Some organizations categorize uniform orders by sport, which can:
- Pre-populate common kit items
- Filter which teams see the order
- Apply sport-specific sizing charts
Sport-Specific Items
Configure items relevant to the sport:
- Basketball: Jersey, shorts
- Soccer: Jersey, shorts, socks
- Football: Jersey, pants, helmet size
- Swimming: Team suit, cap
Add only what you’re actually ordering.
Kit Parts and Sizes
Adding Kit Parts
Each item in the uniform order is a “kit part”:
- Click Add Item or Add Kit Part
- Name the item (“Home Jersey”, “Practice Shorts”)
- Configure available sizes
- Set any additional options (colors, numbers, etc.)
Size Options
Define what sizes are available:
- Standard sizes: YS, YM, YL, AS, AM, AL, AXL, etc.
- Numeric sizes: 6, 8, 10, 12, etc.
- Custom sizes: Whatever your vendor offers
Be specific; “Medium” could be youth or adult.
Optional Fields
Depending on your needs:
- Jersey number – If athletes choose their number
- Name on jersey – If personalized
- Color preference – If options exist
Setting the Deadline
Deadlines drive action:
- Set a submission deadline date
- Optionally set a time
What Happens at Deadline
- Athletes/guardians can no longer submit
- You have a complete list for ordering
- Late additions require manual handling
Deadline Best Practices
- Give enough time for families to measure
- Build in buffer before vendor deadline
- Communicate clearly when announcing
Managing Submissions
Once the order is live:
Viewing Submissions
- Open the uniform order
- View the submissions list
- See who has submitted and their selections
- See who hasn’t submitted yet
Sending Reminders
As deadline approaches:
- Send reminders to non-submitters
- Include deadline in reminder
- Make it easy to access the form
Exporting Data
Once collection is complete:
- Export submissions to CSV
- Use for vendor orders
- Track distribution later
Team-Level Season Requirements
For team-specific orders:
- The team must have a linked season
- The order collects from that season’s roster
- No season = no roster = can’t determine who to collect from
If you can’t create a team-level order, check the team’s season linkage.
Editing Uniform Orders
Before Submissions
You can modify anything:
- Kit parts and sizes
- Scope
- Deadline
After Submissions Start
Be careful with changes:
- Adding new items is usually safe
- Removing items may affect existing submissions
- Changing sizes could invalidate previous selections
Major changes after submissions may require communication and resubmission.
Common Issues
“Athletes aren’t seeing the uniform order”
Check:
- Is the order published/active?
- Is the athlete on the correct team/roster?
- Is the season linked properly?
“Can’t create team-level order”
The team likely needs a season linked. See Create Seasons and Link Them to Teams.
“Deadline passed but someone still needs to submit”
Options:
- Extend the deadline (if possible)
- Collect information manually
- Add to a future order
Best Practices
- Start early – Give families time
- Clear instructions – Include measuring guidance
- Reasonable deadlines – Account for busy schedules
- Follow up – Remind before deadline
- Verify before ordering – Review submissions for obvious errors
